By law, accounts paperwork has to be kept for a period of up to six years. For any organisation, this can amount to a large volume of ‘paper’ which is often stored in cupboards, containers, filing cabinets – in fact, all over the place!
Trying to retrieve an important document for inspection can be a nightmare and can also prove to be a costly exercise for a business.
Storing invoices electronically is a much more efficient and cost effective way of managing an archive and is fully endorsed by both the Inland Revenue and HM Customs & Excise. As soon as we have scanned invoices in our Document Scanning Bureau and a client has approved the quality, there is no need to keep the paper copies and we can arrange for it to be shredded.
Retrievals are made easy as invoices can be indexed by invoice number, company/supplier name, date and any other relevant criteria. So, no more lost or misfiled documents!
It is also possible to run reports using, for example, a range of dates and a supplier name to produce useful statistics. Manual weeding and destruction will also not be required as we can set automated retention periods for invoices to be reviewed for deletion as determined by our clients.
