Many client files must be kept for long periods of time as they can contain copies of contracts, agreements, terms and conditions etc. For any organisation, this can amount to a large volume of ‘paper’ which is often stored in cupboards, containers, filing cabinets – in fact, all over the place!

Trying to retrieve an important document should a query arise, can be a nightmare and can also prove to be a costly exercise for a business.

Storing client files electronically is a much more efficient and cost effective way of managing an archive and is fully endorsed by the statutory authorities. As soon as we have scanned the files in our Bureau and a client has approved the quality, there is no need to keep the paper copies and we can arrange for them to be shredded.

Retrievals are made easy as the files can be indexed by client name, address, unique reference, date and any other relevant criteria. So, no more lost or misfiled documents!

It is also possible to run reports using, for example, a range of dates and client names  to produce useful statistics. Manual weeding and destruction will also not be required as we can set automated retention periods for the documents to be reviewed for deletion as determined by our clients.
